Permission Set Glossary - Contact

Areas users can be granted or limited access to in the Contact permission set options

⭕ This article is for users with the Account Owner role.

1. Archive contact --- Allow user to archive a contact

** No longer in use - please see 'Archive contact type' for similar functionality **

2. Archive contact document --- Allow user to destroy a document associated with a contact

When checked, user can:

  • Click the 'delete' icon on any documents listed under the contact's "Documents" tab and successfully delete

3. Archive contact type --- Allow user to archive a contact type

When checked, user can:

  • Click the archive icon in a contact's sidebar and successfully archive a contact, disenrolling them from all programs

  • Click the "Archive this contact type" link on any contact's 'Details' tab, in a contact type form

When checked, user cannot:

  • Delete a contact (unless 'Destroy Contact' is selected)

 4. Create contact --- Allow user to create a contact

When checked, user can:

  • Create a new contact from the green "Create" button

  • Create a new contact from a group membership field

5. Create contact document --- Allow user to upload a document associated with a contact

When checked, user can:

  • Upload a new document on a contact's 'Documents' tab

6. Create contact group --- Allow user to create a group associated to a contact

When checked, user can:

  • Create a new family from a contact's Groups tab

7. Create contact user --- Allow user to create a contact who is also a user

** No longer in use - please use permission setting options in 'Participants' **

8. Destroy contact --- Allow user to destroy a contact

When checked, user can:

  • Delete a contact and all the contact's forms and information from the system (this action is irreversible!)

📌 Note: 'Archive contact type' also needs to be checked in order to give a user access to the contact delete button.

9. Manage contact program enrollments --- Allow user to manage contact program enrollments

When checked, user can:

  • Enroll a contact in a new program

  • Disenroll a contact from a program

  • Change the date of enrollment or disenrollment of programs

  • Update program category enrollments

10. Manage contact user invitations --- Allow user to invite a user who will be a contact

When checked, user can:

  • See the "Invite User" box if the contact type's userable setting is turned on

  • See the "Add more contacts to this group" for group or family contacts

11. Map contact data --- Allow user to use the data mapping feature to map existing data to form fields

When checked, user can:

  • Use the mapping feature in a contact's form results to map data from a contact form to an activity or assessment form

When checked, user cannot:

  • Turn mapping on or off for forms (unless Form > 'Update Form' permission is checked)

12. Update contact --- Allow user to update contact detail

When checked, user can:

  • Edit a contact's 'Basic Info' in the Details tab

  • Edit a contact's sub-type information in the Details tab

  • Add new contact sub-types

13. Update contact document --- Allow user to edit a document for a contact

When checked, user can:

  • Access the edit button on each of a contact's documents

  • Change a document's name

  • Change a document's description

  • Change the file uploaded for a contact document

When checked, user cannot:

  • Delete a contact's document (unless 'Archive contact document' is checked)

14. Update contact staff --- Allow user to assign staff

When checked, user can:

  • Click the (edit) link next to the Assigned Staff heading in a contact's sidebar

  • View a list of all staff members

  • Choose a staff member to assign to the contact

  • Unassign a staff member from the contact

❗Tip: when unchecked, users can still see who has been assigned as the staff member, but cannot change this assignment. Uncheck 'View contact sidebar assigned staff' to remove the section entirely.

When checked, user cannot:

  • Suspend or remove staff members from VerticalChange (unless 'Manage accounts/users' is checked)

15. View activity and assessment tabs for contact user -- Allow contact user to view the activity and assessment tabs

When checked, user can:

  • View and click on the "Activities" and "Assessments" tab in a contact's profile

16. View all agency program contacts --- Allow user to view contacts for all programs of an agency

When checked, user can:

  • See all contacts in the system, no matter what program they are enrolled in

❗Tip: Un-check this permission if you want to limit your users to seeing only the contacts enrolled in the programs that they have access to. 

17. View contact --- Allow user to view contact detail

When checked, user can:

  • View the 'Contacts' data grid

  • Look up contacts in the Jump To bar

  • View a contact's profile

18. View contact dashboard --- Allow user to view contact dashboard

When checked, user can:

  • See and access the "Dashboard" tab on a contact's profile

19. View contact document --- Allow user to view contact document

When checked, user can:

  • See and access the "Documents" tab on a contact's profile

  • View all documents on a contact's "Documents" tab

When checked, user cannot:

  • Edit a contact's documents (unless 'Update contact document' is checked)

  • Delete a contact's documents (unless 'Archive contact document' is checked)

20. View contact event --- Allow user to view events related to contact activity

When checked, user can:

  • See the 'Recent Events' updates on a contact's Dashboard

📌 Note: unchecking this permission does not remove the "Recent Events" updates on the agency's Dashboard. See Event permission options to limit that access.

21. View contact group --- Allow user to view contact group data

When checked, user can:

  • See and access a contact's 'Groups' tab

  • See a list of groups a contact is a member of in the contact's sidebar

22. View contact letter --- Allow user to view contact letters generated by mailings

🚩 Only applicable to agencies with the mailings feature enabled.

When checked, user can
:

  • See and access a contact's "Letters" tab

  • View all letters that have been created for a contact

When checked, user cannot:

  • Delete letters that have been created

  • Edit letters (unless permission options have been checked in the 'Mailings' section)

23. View contact program --- Allow user to view program enrollment history for a contact

When checked, user can:

  • See and access a contact's 'Programs' tab

❗Tip: when unchecked, users can still see programs in the contact's sidebar. Uncheck 'View contact sidebar program' to remove the section entirely.

24. View contact sidebar assigned staff --- Allow user to view staff assignments in contact sidebar

When checked, user can:

  • View all staff assigned to a contact

When checked, user cannot:

  • Assign or unassign staff to a contact (unless 'Update contact staff' is checked)

25. View contact sidebar group --- Allow user to view groups in contact sidebar

When checked, user can:

  • View the groups a contact is a member of from the contact's sidebar

When checked, user cannot:

  • Update group membership (unless 'View contact group' is checked)

26. View contact sidebar program --- Allow user to view programs in contact sidebar

When checked, user can:

  • View the programs a contact is a member of from the contact's sidebar

When checked, user cannot:

  • Update program enrollments (unless 'Manage contact program enrollments' is checked)

27. View contact sidebar uid --- Allow user to view unique user id in contact sidebar

  • View a contact's Unique ID in the contact's sidebar (as long as this setting has been turned on in Account > Settings)

28. View unenrolled contacts --- Allow user to view contacts not unenrolled in any program

When checked, user can:

  • View any contacts, even if they have not been enrolled in a program yet

❗Tip: Uncheck this permission set if you want your user to only view contacts that are enrolled in a program. Unchecking 'View all agency program contacts' will further limit a user's contacts to only those that are enrolled in the same program that they have permission to view.
