How to view all the tasks you've assigned to other users and update the task details

Viewing Tasks You've Assigned to Others

You can view the tasks you've assigned to other users by clicking on the Tasks button in the left-hand navigation menu.

By default, you will land on the My Tasks section that displays all of the tasks assigned to you. To view the tasks you've created and assigned to other users, click on the Tasks I've Assigned to Others tab.

In this section, you will see a list of all tasks you've assigned to other users, with the Name, Description, Assigned To User, and Due Date.

Permissions Note: Only users with the permission setting "Update task assignment --- Allow user to reassign a task" will be able to view the tasks they've assigned. If they do not have this permission setting enabled, they will not see any tasks listed in this section, and are not able to assign tasks to other users.

Tasks that have a link to a page will have the Name hyperlinked, and clicking on it will bring you to the relevant page.

The tasks will also be grouped into the following categories:

  • Upcoming Tasks - tasks that have not been completed

  • Completed - tasks that have been completed

The Upcoming Tasks, by default, are sorted by the user's first name. You can update the sorting options at the top and sort by the Task Due Date instead.

You can also view which of the tasks you assigned have been completed by expanding the Completed section. You will also get an email notification when a user has marked one of your assigned tasks as completed.


Updating Tasks You've Assigned to Others

If you need to make changes or re-assign one of the tasks you've assigned to another user, you can do so by clicking on the pencil icon to the right of the task.

Permissions Note: You can control what your users are allowed to update through their permission set.

  • "Update task assignment --- Allow user to reassign a task" - gives the user access to re-assign a task. If this is not enabled, they will not be able to assign the task to a new user

  • "Update task --- Allow user to edit a task" - gives the user access to update the Name, Description and Due Date of a task. If this is not enabled, they will not be able to make changes to any of the task details.

Once you've clicked on the pencil icon, a pop-up will appear where you can update the task Name, Description or Due Date.

If you would like the task to be re-assigned to a new user, select the user under "Reassign to Another User." The task assignment will still come from you - the current user will have the task removed from their list, and the new user will get an email notification that they have a new task.

If the task was a mistake, you can click on the red trash can icon to delete the task. (Be careful - this will permanently delete the task from the assigned user's list, and it cannot be restored!)

Permissions Note: You can grant/remove access to this button through the permission setting "Archive task --- Allow user to archive a task".

Once you are finished making your changes, click Update Task. The changes will be reflected on the Assigned To user's task list, and also on your "Tasks I've Assigned to Others" list.


Completing Tasks

If needed, you can complete a task on behalf of one of your users. Simply check the box next to the task, and it will become a Completed Task for both you and the Assigned To user.
