Connect Family & Family Members to First 5 Programs

How to make sure your Family & Family Member data is getting back to First 5 Santa Barbara

For First 5 Santa Barbara grantees, your VerticalChange system is set up as a single agency responsible for tracking key information about the families, parents and children you serve as part of a First 5 program. These programs and services are defined by First 5, and shared to individual VerticalChange agencies.

One of the key pieces for data evaluation and monitoring on the First 5 side is being able to pull demographic and intake information on a child receiving services, and their related Family, based on the programs First 5 has identified.

In order for First 5 to correctly see the child's intake, activities, assessments and related family, your team should ensure that all records in VerticalChange are associated with the correct First 5 program. This includes the child contact, adult contact, family contact, and any activity and assessment results.

This article will walk you through how to ensure your contacts are connected to the correct program.

If this is your first time creating contacts in the system, we recommend you read these articles first

If you are creating the Family contact first...

If your agency's workflow is to create a Family contact first, and then add the family members to that contact, please make sure when you create the Family, you are enrolling them in a First 5 program.


After creating the Family contact, you can then create the family members from the Family's Dashboard, and enroll each of those in the same First 5 program.


If you are creating the Family Member first...

You will still need to ensure that the family member, and the associated Family contacts are both enrolled in the same First 5 program. This method may require additional clicks!

For example, if you are creating a family member, and then creating a new Family from that member's "Groups" tab, you will need to click on the associated Family for the member and navigate to their Programs tab, in order to add the First 5 program.


Use the Family Program Enrollment Feature

If you'd like to be safe and make sure that everyone is in the correct program, you can enroll a family and all members in a program at once.

To do this, navigate to your Family's Dashboard, and click on the "Family Program Enrollment" button. Then select the correct First 5 program, and click "Apply". The system will then enroll the Family contact and all its members in the selected program, if they haven't been enrolled already.
