Create a "Class" and Take Attendance

Using Groups and Activity forms to take attendance for a roster of students (or attendees)

There may be instances where you are doing a group service, such as a workshop or a class, and you would like to "take attendance" for all members of that particular group without having to go in and complete an attendance form for each individual member.  

Create a Group and Add the Roster of Participants

If you don't have a Contact Type set up to record specific information on a recurring class series or service group (like start/end date, location, name of instructor, etc.), you can simply create a "basic group" from the Create button. 


Give your group a name (usually the name of the class), enroll into the associated program, and then click Save.

Next, you will need to add the names of your participants.  In the same way you add family members to families, from the Dashboard you will add existing contacts to the group to create your roster of participants.

Take Attendance for the Class

Before you can take attendance, you must have an attendance form created and assigned to the associated program.  You can learn how to create a form here.  

Once you create your group and add members, the group will show up in the Contacts grid under the Groups tab, and whenever they meet and you're ready to track who came to class, just click on the group name and the profile will come up. 

As you would with any other individual contact, navigate to the Activities tab and as long as your group is enrolled in a program associated with an attendance form, it will appear in the dropdown.   Select the form, select the members of the group in attendance, and complete the form.  

This will add attendance data to the group as a whole, in addition to each individual in that group.  If you navigate to each individual's profile, you'll see the attendance form completed for each of them in their Activities tab.
