Contact Subtype (CST) access levels is a feature which can be enabled by VerticalChange staff in your agency. Once enabled, it will allow users with the Manage account/users permission to restrict users with certain permission sets from creating, editing, or even viewing data from specific CSTs. This does not affect users' ability to access contact's profiles, attach form results to those contacts, or enroll contacts in programs. This article will describe the different levels of access and show you how to set them.
The Access Levels
There are three access levels: write, read, and none.
A user with "write" access to a CST may create contacts of that type, add the type to existing contacts, edit that CST's data on a contact profile's details tab, see the CST tag next to a contact's name, view data from that CST on contacts' details pages and sidebars, and pull data from that CST in the report builder.
A user with "read" access to a CST cannot create contacts of that type or add the type to existing contacts. A user with read access also cannot edit data from that CST on a contact profile's details tab. The CST will no longer appear in the Create button dropdown menu for this user. However, a user with read access can view data from that CST on contacts' details pages and sidebars and pull data from that CST in the report builder.
A user with "none" access to a CST cannot tell that a contact whose profile the user is viewing has that CST. The user cannot view data from this CST on a contact's details tab, in the contact's sidebar, or in the report builder.
Setting Access Levels
In order to set access levels for users, navigate to the Permission Sets tab in the Account Module. Under "Action" you will see a button shaped like a person. Select that button to modify CST access levels for the corresponding permission set.
You will see a table with a list of all your agency's Contact Subtypes. Choose the access level you wish to assign to this permission set in the "Right" column corresponding to each CST.
