How to invite participant users to start a Zoom session with a VerticalChange staff member

How to enable and use the Zoom Integration feature

The following article will walk you through how to enable and use the Zoom Integration feature. The topics discussed are:

1. Logging In to VerticalChange as an Admin

2. Enabling the Zoom Integration & connecting to a corporate Zoom account

3. Adding Zoom users as VerticalChange Staff using their Zoom account email

4. Setting up a Participant's Zoom access as an Admin

5. Accessing a Zoom Session as a Participant

Pre-Requisites

  • You must have a Zoom Business account, with at least one Zoom user


Logging In to VerticalChange

1. Go to https://verticalchange.com/ and click the Log In button

2. Enter in your test admin login credentials for the VerticalChange app

  • These will have been sent to you in a separate email


Enabling the Zoom Integration & connecting your Zoom account

1. Once logged in to your test admin account, hover over the left-hand navigation menu and click on the Account button.

2. Click the Settings tab

3. Check the box next to Enable Zoom Integration

4. You will be re-routed to the Zoom OAuth Login page. Please enter in your corporate login credentials for the Zoom application, then click Sign In.

5. If your log in is successful, you will be routed back to VerticalChange, where the "Enable Zoom Integration" box will be checked. Click the Save button.

Adding Zoom users as VerticalChange Staff

Adding a new Staff member to VerticalChange will connect a Zoom user's account with a Staff member's account in VC through their email address.

1. Hover over the left-hand navigation menu, and click on the Staff button.

2. Click + Add Staff

3. In the new staff member form, complete the following fields:

  • First Name - First Name of your Staff user

  • Last Name - Last Name of your Staff user

  • Email - the email address that matches the email used for the user in Zoom. Important! This email address MUST match what is in Zoom! We use the email from the Staff user to match a Zoom account with that same email, and if they do not match we will not be able to create a Zoom meeting.

  • Permission set - choose any permission set from the drop-down

Click Add user.


Setting up a Participant's Zoom access when logged in as an Admin

  1. Log in as an Admin user

2. Hover over the menu on the left of the page, and click on the Participants button

3. Click + Add Participant

4. In the new participant modal, fill out the following details:

  • First Name - First Name of the test user

  • Last Name - Last Name of the test user

  • Email Address - Test email address of the user.

  • Contact (with users) - select a Client contact in VerticalChange that the user will have access to

  • Permission Set - select the "Participant" permission set

  • Zoom Conference Host - select the name of the Staff user whose Zoom account email you entered in the previous step.

5. Then click Add participant

You have successfully invited a participant user to the system linked to a Zoom Conference Host. πŸŽ‰


Please Note - if you would like to test the functionality of a Participant user receiving a welcome invitation, activating your account, and logging in - you must enter in an Email address to which you have access. The invite emails will be sent to this address.

The user will receive a welcome email with an activation link that you can use to set a password and login as a new Participant user.

If you do not want to test the welcome/activation process, please log out of VerticalChange by clicking on the bubble in the top right, then clicking Logout. You can then log in with the test Participant credentials with which you were previously provided.


Accessing a Zoom Session as a Participant

1. Log in with your Participant credentials - you will be directed to the Dashboard of a Client contact in VerticalChange. You can think of this Client contact as a patient's chart. They are viewing a collection of information about themselves.

2. Under "Zoom Session", click Start Session

A new tab will open launching your Zoom Meeting. You will be asked to wait for the host to start the meeting, and will then be let in to the Zoom Meeting when the Conference Host lets you in from the Waiting Room. πŸŽ‰

Uninstalling / Disabling Zoom integration

If you'd like to uninstall the Zoom integration, you can simply click the "Enable Zoom integration" checkbox to de-select it. This will de-authenticate and delete the Zoom integration completely.
