Using Groups, Session Forms, and Registration Forms, register participants once and track their attendance.

Create a Group Workshop and Track Attendance

There may be instances where you are holding a group service, such as a workshop or class, and you would like to manage attendance for all members without having to complete a form for each individual separately. The attendacne feature uses Groups, Session Forms, and Registration Forms together. This article takes you though setting up attendance for your classes, workshops, events, and more.


Step 1. Create a Group and Enroll in a Program

  1. From the Create button, select Group.

  2. Give your group a name (usually the name of the workshop or class).

  3. Enroll the group into the associated program you will use for the session then Click Save.

  4. Next, you will need to add the names of your participants. In the same way you add family members to families, from the Dashboard you will add existing contacts to the group to create your roster of participants. Make sure each member you add is also enrolled in the same program as the group.


Step 2. Create a Registration Form

  1. Next you'll need to define a registration form. You can learn how to create a form here.

  2. Registration forms allow you to collect specific information that you might need before someone can enroll in the class or workshop. You can define one or more registration forms for different types of participants for example a seperate parent and child registration for a parenting class.

  3. Navigate to Forms > Registration Forms.

  4. Create a new Registration Form and link it to the session form you just created.

  5. Save your form.

Once the session form is linked, a Registration tab will appear under each contact in the group.


Step 3. Create an Attendance Form

  1. You create an attendance for the same way you create a registration form.


Step 4. Create a Session Form

  1. After creating the group, registration, and attendance form, create a session form.

  2. Session forms allow you to define when your particular class is meeting. For example you may run a parenting 101 workshop using the same cirricuulm that has mutiple sessions throughout the year each with its own meeting days and times and other eligibility criteria. Session forms is where you can define those.

  3. Navigate to Forms > Session Forms.

  4. Create a new Session Form and associate it with the same program the group is enrolled in.

  5. Save your form.


Step 5. Register Participants

  1. Once you have sessions and registrations defined. You will see a registrations tab appear in the contact profile for every contact that is a member of the group and enrolled in the program.

  2. Go to the group’s profile.

  3. Open the Registration tab for each contact and complete the registration form.

  4. On the registration tab you can sepcify the session days and times that the contact will attended. For example, you may have a class where students attend part-time. Setting their specific days will ensure they do not appear as absent on session days they are not

  5. Once registered, participants will appear in the Attendance roster.


Step 5. Take Attendance

  1. When the group meets, go to the attendance tab on the left hand menu

  2. Click the session you want to take attendance for.

  3. Mark the participants in attendance or absent (you can add reasons for absence as well) and click submit attendance.


You can view the day in teh top left corner below the attendance and roster tabs. If you click the calendar, days with incomplete attendance records will show in red.
